This Privacy Policy describes how Atlas One Accounting ("we," "us," or "our") collects, uses, and discloses your personal information when you visit our website, atlasoneaccounting.ca (the "Site"), and when you engage our accounting services.   • Legal and Regulatory Requirements: We may disclose your personal information if required to do so by law, court order, or to comply with requests from government agencies or regulatory bodies (e.g., Canada Revenue Agency).

  • Professional Advisors: We may share information with our professional advisors (e.g., lawyers, auditors) when necessary.

 

6. Secure Data Management

The Firm employs reasonable administrative, technical, and physical safeguards to protect the Client’s personal information and financial data. The Client acknowledges that the Firm may use third-party service providers (e.g. OneDrive cloud storage) to assist in delivery of services, and data may be stored on servers, potentially outside of Canada. However, the Firm ensures that such service providers are contractually obligated to maintain confidentiality and security in accordance with professional standards and applicable Canadian privacy legislation (e.g. PIPEDA). While the Firm strives to protect the Client’s data, absolute security cannot be guaranteed with electronic storage or transmission over the internet.

To provide you with efficient service and security, our firm utilizes TaxDome, a secure practice management platform. We take the protection of your personal and financial information seriously and have chosen this platform specifically for its commitment to Canadian privacy standards for electronic communication and secure data management:

  • PIPEDA Compliance: Our workflow is designed to meet the requirements of the Personal Information Protection and Electronic Documents Act (PIPEDA).

  • Canadian Data Residency: All files and personal data uploaded to our TaxDome portal are stored on secure servers located physically within Canada, ensuring your data remains under Canadian jurisdiction.

  • Advanced Encryption: Your information is protected using 256-bit AES encryption at rest and SSL/TLS encryption during transit—the same security standards used by major Canadian banks.

  • Secure Access: The TaxDome client portal provides a private, password-protected environment for you to upload documents and sign tax authorizations (such as Form T183). To maintain the highest level of security for sensitive information, we will utilize the TaxDome Client Portal for file transfers. 

  • Data Hosting: You understand that data stored within TaxDome is encrypted at rest and in transit. TaxDome stores data for Canadian firms on AWS (Amazon Web Services) servers physically located within Canada meeting PIPEDA standards. 

  • Use of TaxDome Portal: By using our secure TaxDome portal, you consent to the collection, storage, and processing of your personal information as described above for the purpose of providing accounting and tax services. You may withdraw this consent at any time, though it may limit our ability to provide digital services. 7. Retention of Your Personal Information

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, to provide our services, to comply with our legal and professional obligations, and to resolve disputes.

Under Canadian privacy legislation, you have certain rights regarding your personal information, including:

  • Right of Access: You have the right to request access to the personal information we hold about you.

  • Right to Correction: You have the right to request correction of any inaccurate or incomplete personal information we hold about you.
